Workgroups(s); Circulation Services – Circulation, Reserves and Stacks

Stats
940 emails processed (so far) for Spring ’10 reserves – libres mailbox
1126 YTD email messages regarding schedule changes at Main
577 YTD email messages regarding film screening reports and questions/issues
3975 YTD emails since the start of term in libcirc mailbox

Highlights:
Snowstorm and power outage! Rich drove through the storm to open and staff the Main Circ desk in the early morning dark with the help of Sarah B; Nancy and Dan braved the roads to open Armstrong and Music branches; Emergency manual documentation clear and helpful; back-up power on at Main; manual circ; approx 50 phone calls and in-person questions about hours, outage, classes etc.; many people did not get AlertFind notification by email (servers down); would have been helpful to have AD’s cell phone numbers to consult about library closings; hurray – power on at 8:45 am; Mill up shortly thereafter; all 3 branches stayed open – albeit with some staff unable to get to work due to the storm
Mill Circ system functionalities– customizing booking slips options? (nope); took “notes” out of mxcirc patron display; looked into notice queuing when on break
Quiet Sunday at Main
Eres and print Res processing on Sundays and Mondays a team effort – thanks Dan and Nancy!
Reserves – Reserves processing continues: plenty of print, media, and Eres coming in each day; helping faculty and department coordinators as they adapt to new screening policies for films on reserve
Circ goals – still finalizing (meeting canceled due to storm)
Weekend – moderate on both nights; more so on Saturday; routine; book sweeps, special shelf reading projects

Erased pencil damaged books
Film screenings – trying to resolve issue of how to limit self-bookings to just films being screened by a class
Student employee management – started planning for Summer student employees – submitted job extension form; Music student dropped shifts for semester (have been filled); exploring Google calendar instead of Outlook for student schedules; hired and trained new student at Main to fill 2 of 3 gaps
Wiki – work transferring, editing, reviewing documentation from old Circ wiki to new LIS wiki department page – almost done!
Busy, busy everywhere!
Reserves still coming in (slowly @ Arms)
ILL’s, Nexpress busy
Still lots of printing observed, but much less wasted paper
Busy – several classes being taught in Armstrong lab
Questions/problems of every kind
Sent final statement of charges and resolving billed materials prior to transfer to College bill
Carrel & locker emails alerting users to a sweep; thesis carrels still going out (47 of 70 given out this semester)
General increase in user activity during evening hours
Students happy to find room reservations no longer necessary for immediate use of study rooms after business hours
Loaner equipment – busy with overdue follow-up; peak in LCD projector requests – many presentations!
Stacks – developing documentation on wiki
DA Team – research/writing of form for new digitization project proposals, continued evaluation of current digitization projects
CT Team: scheduled focus group sessions – leading 2
Web Team – post-launch stuff; blog template and design
Library hours – winter carnival hours posted and announced
PFDP’s – one completed
Borrower data base – reviewing procedures for web-forms process/workflow

Challenges
Processing Bindery shipments at Arms
Student employee printing from LibCirc1
Room scheduling confusion – who to contact for which rooms in the Main Library; referrals to Event Management referred back to LIS
Little staff response to Google calendar query
Students booking reserve media NOT for classroom screenings
Contacting Circ staff and AD’s during power outage – some off-campus land lines not working; no cell phone numbers listed in LIS emergency contacts list
Terminology in MIDCAT for put on reserve/place reservation/place request — confusing to borrowers
Resistance from faculty re: having students book media for screenings: fear it won’t get done, and no confirmation that it was taken care of
Expectations of immediate turn-around (same-day processing) for all Reserves
Equipment issues – overdue equipment; continued frustration with equipment workflow
Multiple students coming to Circ to ask about print quota refunds
Increase in Reserve books going missing or being misplaced
