Workgroups(s); Circulation Services – Circ, Reserves, and Stacks

Highlights: (Progress towards Goals, accomplishments)
• Lovely party with AMAZING good food at Mary’s, friends and colleagues, a gift to be treasured, a song to be remembered – thanks!
• Lots of staff training – Reviewing/editing checklists; building tours, staff intros, completed tutorials on Emergency procedures, ILL/NExpress, film screenings, loaner equipment, booking module, Outlook calendars, Reserves, carrels and lockers, re-shelving, LC easy
• Student staff training, 1:1 with new Circ and student staff
• Orientation – permissions, imaging, equipment, phones, keys, access, contact info, email lists, etc.
• Staff schedules – stretched very thin with vacations, time off, training efforts, and increased library evening hours
• Lost and found shelf cleared of piles of junk, clothes, recycling, books, DVDs, misc equipment, and 1 Netflix return (now finally mailed back), valuables sent to Public Safety
• Kaplan files – negotiating agreement
• Davis 250A Key inventory
• Deleting, forwarding, recycling, reviewing, cleaning up files and documentation
• Staff space shifts and moves; ensuring happy and productive spaces for all staff
• Documentation – old Circ wiki emptied and deleted – hurray!; editing borrower policies and staff procedures, link checks on drupal/mediawiki, etc.
• Reviewing all Manager responsibilities and Circ workflows, work assignments, procedures, staff personnel stuff, tying up (or passing on) loose threads and works-in-progress
• Guest borrowing – planning and documentation for shift to web based forms – step one toward achieving reduced paper forms
• Reviewing policy/procedure for signing equipment user agreements
• Nexpress too long reports
• Clearing hold shelf of items too long on shelf; quality check/inventory
• Equipment inventory – iPods, headsets, adapters
• Carrels and lockers – cleaned up and ready to go for Summer session
• Billing – processing bills, long-overdues, lost, searching, documentation
• Reviewing Borrower data base procedures
• Monthly search list completed – many found items! Mostly in place, some slightly mis-shelved; a few very creatively mis-shelved
• Taking an initial stab at creating SLA’s
• RESERVES:
 1,300 items processed for BLVT reserves
 60 boxes of BL reserves packed and delivered to Lee Kennedy room for Davison delivery
 Amazing and very appreciated effort of Circ and ILL student staff with the BL reserves workflow: pulling books, arranging by call # on shelves, packing boxes
 Reserves training for new staff
 Film screening training for new staff
 Closing training for new staff

• Space Team: tour of service points at Davis; tour of Voter basement
• CT Team – waiting to hear back from the AD’s on our recommendations
• MUSIC:
 Two new students trained and scheduled for the summer
 Pulled and withdrew 6 linear feet of periodicals on JStor in preparation for a shift of the MT’s
 Contemplating moving the Laser discs to Special Collections along with Davis’s collection
• ARMSTRONG:
 Training new staff
 Reviewing documentation
 ILL training on new version
Challenges:

• Request for yellow cables (what is the plan for this?)
• Equipment inventory – missing with available status
• Scheduling – staff stretched very thin, especially in July
• Crazy-big peak Bread Loaf reserves processing
• Gate counts – no activity before 9 am and very little after 5 pm on 1st Friday of LS
• Virus issue at Circ front computer – saved by Dennis and SteadyState
• Wiki – limitations re: design of current page and keeping all Circ workgroup documentation on one page
• Not enough time in the day
• Questions re: color printing in library; I’m following up with the Helpdesk on this
• Issue with Russian School screening in Twilight on 1st night of LS; seemed to be resolved quickly
• Not enough hours in the day
