Meeting notes 1/27/2010 Circulation group
Present: Dan Frostman, Elin Waagen, Nancy Reynolds, Todd Sturtevant, (notes) Steve Bertolino, Rachel Manning and Morgan Connor

Staffing at the circulation points:
Does there need to be any tweaking of the schedule? Evenings at Main could be a potential problem. Need to look at possible shifts to cover if this becomes a gap.
February break: Are all calendars set? Check outlook to make sure your schedule is up to date.
First day of spring term: Todd at Armstrong to oversee scheduling conflicts? Main has enough coverage for spring carrel sign-up? Although most agreed that it shouldn’t be that busy. On-line carrel sign-up not looking like a reality at this time (Dan).
Staff – any upcoming time off, break is a good time to be out?
A big question – how is the current schedule working?
Issues raised: Lunch transition at Main is a schedule gap. Possible solution is Dan covering Monday lunch. Also another solution mentioned is whole days vs. half days, something for Dan, Todd and Nancy to work out.
Another thought brought up is using students to cover slow times this would mean more training, especially for booking rooms. Issue of overrides brought up, but feeling is if student has block on account they can return when a supervisor is on duty.
GOALS:
Three goals on the table: name(s) after each is the person(s) who is working on write up.
- Develop a service level Agreement – Steve.
- Staying current (base line Knowledge and skills) – Elin and Nancy.
- Coordinating student supervision across LIS – Dan.

By Next Tuesday (2/2) please respond to request for feedback on proposed hours (reductions at branches). Feedback needs to be statistical, but anecdotal will be accepted. Stay tuned for finalizing of winter carnival hours. New proposal for regular hours tabled for now.
Elin shared result of the communication survey. Circulation staff answered all questions concerned – excellent responses. A summary will be shared at a future LIS managers meeting.

Elin meet with Joy about Zoho. Joy is tweaking the template as recommended by us – reducing some categories to directional; shrinking text box; exploring paid version which may mean better stats gathering features
Just a quick correction – I’m working on the “Service Level Agreements” goal while Elin & Nancy are working on the “Staying Current” goal.
Oh, and I was present at the meeting too 😉
