User Services Weekly Report

Stats:
Music, in-house use, Spring semester 2009: 469 items with 497 “uses”.

Highlights:
• Web requesting – eliminated ability to recall/change due dates on web requests; holds can still be placed; recalls mediated by Circ staff; NExpress will be a first choice when a Midd item is checked out, resulting in better customer service, simpler request process for users and faster filling of requests; system changed to fill a request by 1st available item
• No issues noted with changes to guest printing policy
• Intersession projects
• Planning for student employee summer training sessions
• LS at Mills workflow for web requests
• Sorting out carrel and locker key issues; preparing carrel suites for LS; documentation/policies
• Contacting various academic-year students with overdue/missing items
• Shelf-reading project
• Searching – too long lists
• Browsing shelf-reading project
• Assisted with set up of Harmon and the Atrium for events
• Assisted with Japanese gift display
• Stacks: staff vacation; student employee doing a great job holding down the fort
• Main: great team of self-directed student workers plowing through intersession projects
• Music: Inventoried and organized Music equipment (missing 1 metronome)
• Millennium: Altered circ notice email subjects; changed MIDCAT requesting to be first available instead of item
• BLSE: Created a BL shelf list inventory; finalizing the Davison Desk schedule and training dates; created new loan rules for BL ILL; preparing for BL (workflow, documentation, loan rules, borrower loads etc.); updating the Davison Library workflow, checklists and procedures on wiki after our Circ/ILL meeting; updating documentation in the Davison Desk binder and Davison Library signage
• The BPA process with HR: User services Purpose/Mission and 5 Main things meetings
• Borrower data base: adjusting and testing for summer borrowing
• NExpress – retrieval and returns workflow revised to accommodate Mills, BL and summer staff vacations
• ILL – workflow changes regarding renewals, loan periods, notices, BL requesting
• Reserves: covering for Reserves coordinator
• Equipment: Following up on equipment user agreement form translations for language schools (I’ve heard from French, German, and Russian so far); following up with Media Services re: equipment given to each LS program for entire summer
• Reviewing NExpress workflow – DVD requests, returns, upcoming ILL absence
• Guest printing changes; meeting and rollout – no issues or problems noted at Circ
• Full hours resume at Main on Friday; at Music and Armstrong on Monday – it has been a productive break period and a welcome change of focus
• Staff art and crafts exhibit – really nice opening reception
• Monthly Ilsley meeting
Challenges
• Millennium issues – system slowed to a crawl and then went down twice in one day – full transaction files at innovative; system down at closing activity/rush
• Power outage
• Guest printing was not working as designed at Music – fixed
• Let the request begin! LS faculty member requesting long-term loans on limited pool of short-term equipment
• Lost/damaged equipment – 7 pieces of equipment (camcorders, iPod, FW drive, tripod, and digital voice recorders) all need to be billed and replaced
