Student Training Minutes, 10/20/2008
Staff present: Maura, Dan, Todd, Rachel, Elin, Kellam
Various students

Introductions

Rachel and Elin began their ILL spiel:
• ILL staff always available to answer questions
• Best procedure for referring questions to them is via email. Second option is to alert a circ supervisor. Be sure to try to include as much information about the patron and item as possible.
• Branches don’t deal with ILL or NExpress that frequently.
• Responsibilities of circ students:
o Shelve the incoming by patron last name
o Borrower comes to take out – go to shelf, get all materials under patron’s name
o Occasionally asked to go to stacks to retrieve items requested by other schools

• NExpress and ILL cannot be picked up at branches – only at Main. CAN be returned at any of the branches.
• Pink band indicated Library use only. Remind the patron of this, and change the due date in Millennium to match date on band. When these items are returned, place back on the holdshelf.
• Green band – normal ILL band. Set due date in Millennium to match date on band.
• Blue Band – Nexpress. Write in the due date that Millennium gives you on the band. Use the barcode on the item to check out. Type “b” before scanning.

Maura reminds Elin and Rachel that they have 3 minutes left.

• Renewals:
o ILL: refer renewal requests to Rachel
o NExpress allows 2 renewals by the borrower. 3rd renewal – refer to circ supervisor
• If a patron is looking for a book, they should look first in MIDCAT, then NExpress, then ILL.
• Encourage patrons to use NExpress over placing a recall on a MIDD-owned book
• Students employees should learn how to find My MIDCAT and Illiad accounts online.

Elin makes an announcement:

While not as frequent at the branches, students are inundated with email. We have decided to post on a blog. When you come in to work, log in to the blog, read it, stay up-to-date on all circ happenings. This will replace email! The first time you go to the blog, please comment so we know that you were there.

Kellam becomes Joanne and presents on Reserves

• If something is not on the reserve shelf, what do you do?
o Panic. (not really)
o Check Millennium
o If it is checked out, tell the patron.
o If it is overdue, tell the patron and alert a supervisor so they can try to get the item back.
o If it is available, look around to see if it was mis-shelved, check re-shelving, and lastly where it would be in the stacks.
o Take borrower’s info so we can let them know if it is found.
• Loan periods: Millennium will tell you when something is due. Be sure to tell the patron.
• Faculty checking out reserves:
o Be sure they know the loan period
o If the item is ONLY on reserve for their class, they may take it out for as long as they want.
o If it is on reserve for other classes, they will need to follow the rules. Refer them to a supervisor
• Question from the floor: Should students email the student who has an overdue reserve?
Answer: NO. Refer to a supervisor.

Kellam becomes Kellam again to present on EQUIPMENT!

• The equipment website can be found at go\equipment
• Go there – it is cool.
• Messed-up cords make Kellam sad. Please make them tidy. Treat the equipment well.
• No hairballs, please.
• Communicate due date to borrower
• Exciting equipment coming! Hard drive camcorders, because no one likes tapes and these are very cute and adorable.
• Maura had a frog in her throat and was NOT laughing at Kellam.
• Kellam’s Final Thought: Thinking about customer service. We need to give borrowers fully charged, clean equipment. Trying to think of ways to improve this. Ask faculty/staff when they return laptops if they took off all of their personal material. Also, remind them at check-out to clear it before they return it.

Points and questions from the floor:
• Turn off 4-hour laptops at check-in. Make sure they are off.
• How would we charge things? Everything is different. Work in progress.
• How long does a camcorder battery last? No one knows. It is one of the universe’s great mysteries.

Maura goes fishing for questions, comments, gripes, etc.

• Can we lower the limit on 3-day movies to 3 from 5? (Most students tell borrowers it is 3 anyway.)
• Can we get the Staff Picks back at Music?
• Emily indicates that this is the best job on campus, thanks to Maura.
• Too many lost and found locations at Main.
• Grace wants all the printers to stop breaking. Specifically on Wednesday nights.
• Suggestion: a printing-only lab
