Weekly Circ Report 18 March 09

User Services Leader Weekly Report
Date: 18 March 2008
Name: Elin Waagen – Workgroups: Circulation, Stacks, Reserves

Progress on Goals:

Goal: Develop Media Materials Workflow
• Observation – film screenings and patron satisfaction as far as condition of media materials seems to be on the rise. I have not heard any complaints this past week about scratched or damaged materials. System in place seems to be addressing and thwarting past problems

Goal: Develop workflow policies/processes and standards for removing personal data from loaner equipment
• Process for the new F/S Macbooks in place at Armstrong
• PC desktop is set up in Equipment Area and ready to delete files from PC-formatted hard drives. Instructions, signage, and training (for full-time/wknd staff) are complete. Training for on-call staff to come.

Goal: Increase opportunity for collaboration and communication with Public Safety
• Input on draft message written by Joseph Watson to send to Lisa Boudah in Public Safety, regarding emergency evacuation/safety procedures for Armstrong/MBH.

Highlights:
• One word and many meetings – PFDP!
• Meeting between FMMC Media Production Specialist, Media Services manager, and Circ Services re: equipment: reevaluating replacement costs and workflow for lost/damaged items
• Equipment: Met with all Circ supervisors and Reserves manager this week re: new equipment workflow (reimaging); updated reimage instructions for Macbooks and FW drives per feedback from colleagues; updated pop-up message in Mill for Macbooks: includes warning about logging in while on campus
• Mid-terms – busy week prior to spring break at Main and Armstrong
• Updated existing item records to ensure that bill notices for long overdue and lost items will not be generated for an amount lower than our new defaults. 19,700+ and 2500+ Music items updated
• Reserves: BL planning; requests are arriving; filling in spur of the moment for unexpected long-term absence of Media Resources Development Coordinator
• Student training meeting for new Armstrong and Main students; topics included ILL/NExpress/Blog/Reserves/Equipment/Customer service
• Student employees: Music – interviewing for summer; Main – working on summer employment; student evaluations; stats – had 100% student attendance this past week – all shifts were covered with very few sub request messages; Armstrong – student evaluations; summer planning; scheduling for spring break; all areas collaborating on summer employment
• Print management: release testing in progress; documenting feedback
• Meetings/workshops/training/committee:
• Yellow cables – new phase-out/last chance signage
• NExpress Article Reach conference call
• Borrower data base – misc college special guests – need to define borrowing/lib expectations
• Planning – M@Mills – effect on Circ, Eres, borrower data base, end of term billing, loan rules, DVD workflow etc.
• Plan for interim projects next week
• Reduced lib hours posted for spring break; work schedules adjusted

Challenges
• Loaner equipment stolen from borrower
• Armstrong: Printer problems (still not completely resolved – still jamming frequently – but working)
• Armstrong: Cable theft
• Summer employment: financial aid awards are ever so slow in being announced; LS acceptance letters are out but many possible candidates are anxiously awaiting word on aid packages
• Encountered example of extreme “excessive requesting” via the hold function in MIDCAT over the weekend
• 2 out of 3 copiers off-line over weekend at Main
• Unable to attend web makeover vendor presentations due to schedule conflicts (PFDP meetings)
