Workgroups(s); Circulation Services – Circulation, Reserves and Stacks

Highlights:
• Finalizing AY library hours
• The last of the summer vacations are wrapping up
• An awesome team of Circ/ILL/Reserves student employees tackling many projects
• Productive semester break period at all circ desks wrapping up summer and preparing for fall – a short turnaround period!
• BLWC ended 8/23 – Circ provided library support 1 – 5 daily during Conference; set up BLWC book display in Main Library lobby for the next few weeks
• BLSE: Completed sizable portion of “missing book search list” for Davison Collection
• Summer review – meeting discussion/comments continuing on Circ blog
• Workflows: task review – meeting discussion continuing on Circ blog; reviewing, reducing and redistributing tasks discussions ongoing
• Staffing: developing Main Circ schedule for Fall 09 with fewer staff – discussions ongoing
• Millennium Circ: set hours open/closed; researching requests possibilities
• Borrower Data Base: incorrect email in LS faculty records resolved; students on campus for summer session back to AY patron types
• LS: All LS @ Mills borrowed materials returned – no outstanding loans
• Student employees: finalizing Fall 09 schedules, paperwork etc.
• Music: ILL steady; faculty requests for new purchases starting to come in
• Project Inventory: Projects all entered into database
• LIS Website team: LIS contacts for LIS pages
• Armstrong: Quiet week, map-shifting project; shelf-read bound periodicals; pulled 18 “Darwin books” from Armstrong stacks for transfer to special collections; ILL busy; Reserves trickling in, bulk of requests expected 1st week of term; taking steps to install and “print status” board at Arm
• Stacks: Level B stacks position approved; great progress on shelving the end of term returns with assistance of Res/ILL and Circ students; re-shelving in collaboration with Circ and ILL; new Japanese collection; faculty author collection cleaned, dusted, shelf-read, re-did display; all Browsing book (all languages and categories) collections dusted, shelf-read and re-shelved
• Loaner Equipment: headsets for Alumni College course; clean up of end-of-term equipment issues — missing accessories, not working; preparing for delivery of 15 MacBook laptops (for students) — they have been cataloged and are in P&P being security-stripped.
• Reserves: Covering opening for Circ Staff; Reserves very busy with Fall reserves – thankful for great student employees; searching and cleaning up “odd” reserve records
• Weekend: Closed for semester break – hurray!
• Evenings: Lots of reshelving including Japanese New Books; general cleanup and searching from LS, BLSE, & BLWC, smooth BLWC session with many Circ staff helping cover Davison, helping out on equipment inventory, general increase of staff activity in preparation for academic year
• Lockers and Carrels – preparations for Fall 09 and thesis carrels; minimal carrel use and heavy locker use Summer 09

Challenges
• Cleared approx. 60 ILL requests from Main Holdshelf that were never picked up by LS borrowers
• Re-grouping Reserves workflow for Fall in light of a staff leave
• Main Level light grid still not fixed
• Minor issue with summer worker staying in the building after hours
• Bridgeport eliminating pick-up – need to figure out new workflow by end of Sept for monthly shipment of 8 – 10 boxes of periodicals/theses that need to be bound
