Memo/FYI
5 August 2008

A few reminders…

The next 2 weeks will be very busy with returns and last minute requests. It is a very stressful time for our users – Bread Loaf School of English will finish up this weekend on 8/9 and LS will end on 8/15. Thanks to all for being attentive to the details of circulation tasks and for ensuring high quality service. Many thanks for all the help – we could not do it without you!

Come to the End-of-Summer Circ Potluck Dinner!
Bring a dish to share! All are welcome.
Wednesday 8/13
6 – 7 pm
Main Library Staff Room – hope you can make it!

ILL Loans
Verify that the name on the ILL band matches the name on the borrower record
Be sure that you are checking the ILL item out to the right borrower!

When rubber banding items together for the holdshelf – be sure that they are all for the same borrower!

Repair media – DVD, VHS etc.
All media needing repair – including VHS – should be sent to P&P along with other damaged library materials.
P&P staff will evaluate for repair/replacement and follow up accordingly.

Remember to close Mill Circ sessions after check-out and check-in – to avoid records “in use”.

BEFORE you place any equipment on Kellam’s desk, change status to “being repaired”, fill out a repair slip with details of the problem, and attach slip to item.

Avoid checking library materials out to the wrong borrower!
If a borrower does not have a Midd ID, please ask for another form of photo ID and call up the borrower account by NAME, then verify ID number, to be 100% sure that you are in the right record…do NOT rely solely on typing in the ID number.

CHECK NEXPRESS before recalling
If a borrower needs a Midd item that is currently checked out, please help them place a NExpress request instead of placing a recall request.

Browsing DVD: disc is in the file, but can’t find the case?
Please refer to a supervisor to search and initiate process for replacing the case.
Do not use the film screening cases to loan out a browsing disc with a missing case.

Laptops – Main Library
Whenever you charge out a laptop to a student, please remind them the laptop can only be used in the library. Tell borrowers the exact time the laptop is due back. The café is not in the library.

Reserve media
May not leave the library – tell borrower the exact time the media is due back and remind borrowers that “media is library use only”. Faculty member who placed the media on reserve may check it out for longer.

Hourly book reserves
Remind borrowers that hourly reserves are 2 hour, in house use only – and tell them the exact time a book is due back.

Reserve and/or Media materials
If you can’t find what you are looking for on the shelf, look it up in the catalog to verify status. If you still can’t find it – alert a supervisor and/or the Reserve Office – so that staff can alert faculty to a problem with any materials critical to their teaching

Reserve and screening DVD’s – Main Library
Be sure that all DVD’s are visually inspected for condition at the time of check-out to the screener.

Remember to record all alarms – Main Library
Please note all incidents of the alarm going off! Try to identify what set off the alarm.

Desktop stats
Thanks for clicking – keep up the good work!
In July we recorded 570 non-circ type transactions at the Main Library!
