Administrative Assistant

ClimateWorks is a worldwide network of philanthropic and non-governmental organizations whose goal is to prevent dangerous climate change. Their objective is to reduce greenhouse gas emissions by 30 billion metric tons per year by the year 2030, and ensure that global average temperatures do not increase by more than 2° Celsius – a threshold that most climate scientists describe as a dangerous tipping point.   • Regional Climate Foundations manage grant portfolios in priority nations, focusing on local and regional politics and campaign-style advocacy. They draw on deep, in-country political expertise and understanding of local conditions to lay the groundwork for policy victories.
  • Best Practice Networks put world-class knowledge to work in the sectors responsible for most greenhouse gas emissions. The policy analysts, technologists, and former regulators who staff Best Practice Networks are deeply embedded in the policymaking process and know how to work with decision makers to ensure policy efficacy.

Primary Duties and Responsibilities
Includes the following and other duties as assigned:

  • Assist Program Officers and other team members with scheduling and coordination of conference calls, meetings, workshops, and interviews.
  • Maintain schedules and calendars for the program team and other groups in the Network.
  • Support the team with travel arrangements, processing expenses, and managing vendor and consultant contracts.
  • Support the program team with discrete program-oriented research tasks.
  • Assist with production and quality control of outgoing work products, including editing and formatting word and power point documents.
  • Manage meeting setup and cleanup including document preparation and catering/ logistics coordination.
  • Take notes at meetings and file work products within knowledge management system.
  • Maintain grantee/partner data and files.
  • Correspond via phone and/or email with colleagues and vendors.
  • Provide general organizational and operations support.

Qualifications
The successful applicant will have the following minimum qualifications:

  • 1 year+ experience in an office administrative or similar role
  • BA degree or equivalent (environmental science and/or policy coursework helpful)
  • Previous experience maintaining complex calendars and coordinating meetings/events
  • Attention to detail and strong organizational skills
  • Excellent research, analytical, and writing skills
  • Competence in MS Word, Excel, PowerPoint, and Outlook
  • Ability to work effectively and efficiently with minimal supervision
  • Ability to keep calm under pressure, prioritize, and multi-task
  • Good personal and interpersonal communications skills
  • Previous work with grants administration preferred
  • Experience developing and managing databases preferred
  • Commitment to the mission of ClimateWorks

Compensation and Benefits
The expected start date for this position is May 2010. The position will be located in San Francisco, California and will be open until filled. ClimateWorks Foundation offers an excellent benefits package and a competitive salary that is commensurate with experience.
