Fall Planning Status (Barbara Burke & Patricia Szasz)

  • Campus Update: Barbara
    • Faculty and staff now have unlimited access to campus, students will have unlimited access beginning the week of August 16. Faculty and staff are able to work on campus full-time if desired. Starting August 16, anyone on campus will need to be in compliance with the vaccine policy, which means they have either uploaded the required verification information or have an approved exemption.
    • All faculty, staff, and students on campus will be required to wear lanyards with their ID cards. There are pink lanyards for students and green for faculty and staff. We are also going to require a vaccine policy compliance sticker that will be applied to the ID/Lanyard. The stickers will be available soon from HR for faculty and staff, and from security for students. 
    • Barbara will soon be sharing a document with the planned operating hours for all departments on campus, and has provided templates for door signage with opening hours for individual departments. Managers are working with employees to ensure any necessary coverage and access for students.
    • We are keeping a close eye on Covid variants, and we may soon see a renewed requirement to wear masks indoors unless you are alone in your personal office. This would be the next step in the variant plan that is in place. Note: You are encouraged to keep windows open (the facilities team has checked the functionality of all windows), and may choose to keep your door open if you are not in a space where people may congregate outside your door.
    • We are hoping there will not be a need to renew social distancing, but we have a plan in place for how we will manage classrooms if we need to move in that direction. We want to ensure a meaningful in-person experience, even if social distancing resumes.
    • At this point we have a 66% vaccine verification response rate for faculty and staff. If you are a department manager, you will be notified of anyone in your department who has not complied.
    • We have a 17% vaccine verification response rate from students, we also know that many students will be seeking vaccines upon arrival. 
    • Barbara and Patricia are working on a detailed contingency plan for how we will respond in the event that someone who has been on campus contracts Covid.
  • Patricia Szasz: Academic Planning
    • Faculty will need to be supportive of a higher number of students learning remotely at the beginning of the semester until they are fully vaccinated. 
    • Patricia will be sending out a list of resources that will help everyone feel prepared to point students in the right direction if they need a vaccine. The pharmacies within walking distance of campus (Rite Aid, Pharmaca, Walgreens) offer free vaccines and are probably the easiest locations for our students.
    • In the survey of student plans for the fall, 20% of students indicated they would like to remain remote, 72% said they plan to be in person, and the remaining students are still making a decision. We expect to have about 500 students on campus.
    • The Student Experience Team has been thinking about how to support the continuing students who have never been on campus. We are mindful that all of our students are new to campus in some way. 
    • We have been working with Media Services to install academic technology equipment in classrooms to support remote learners, prioritizing some of the largest rooms. We have been holding mock classes so that faculty can get a sense of how everything works. The Poly systems have tracking cameras and very strong microphones. We are working with ITS and DLINQ to have an open house the week of the 30th so that anyone interested can see how these new systems work.
    • We are also in the process of assessing the need for teaching assistants, especially in classes with a high percentage of remote learners to support equity of remote participants. Patricia has posted this role on HandShake, please encourage interested students to apply.

Munras Housing Update (Ashley Arrocha, Andrew Hernandez, & Barbara Burke)

  • Ashley: Residence Life Update
    • We are happy to welcome our new Director of Residence Life, Saiya Yanagihashi, who started on Monday. Her office is in Student Services, and she reports to the VPAA.
    • She comes to this position with a lot of experience, and has hit the ground running. She has selected the two new Resident Advisors, is moving forward with room assignments, and planning the move-in process, which will take place September 1-3.
    • A big task will be building out residential life policies and procedures, which will include our policies around smoking, alcohol, etc.
    • Saiya and Ashley conducted a walk-through with Andrew this week and the building looks amazing. Some rooms have views, it’s exciting and a wonderful place.
  • Andrew: Facilities Update
    • The construction team has begun initial clean-ups. 
    • Flooring has been completed throughout the building, cabinets are up in the kitchen, Middlebury blue walls are up and looking sharp, completed final electrical work, starting initial inspections, back terrace was just completed and turned out really nice. 
    • The building will have solar panels, but they will not be ready for opening. 
    • We have the temporary occupancy certificate for the building as of this point. There is light finishing work that will take place after students move in before we receive the final occupancy certificate, but everything is looking good and going in the right direction.
    • Barbara is working with security to ensure the building is secure for parking, first aid kits, fire extinguishers, etc.
  • Thank you to Ashley for her incredibly hard work, and helping to construct and support this new role.

Enrollment Update (Jill Stoffers, Devin Lueddeke)

  • We are happy to report that deposits continue to come in from students. We have had a strong few weeks.
  • We are hoping for 345 new students and 360 returning students. This would mean a headcount of 710 and an FTE of 650.
  • We had a larger number of students than usual on LOA. We also allowed deferrals last year due to Covid.
  • With the possibilities of programs having a remote fall term there are still some applications coming in.
  • Many students are feeling the challenge around housing in Monterey. The Munras housing is a huge win for us. However, the housing market seems to have tightened over the Covid year and some students are changing their minds on in-person learning based on housing.
