Paperless Direct Deposit – Update

Now is the time to switch from a “paper” direct deposit stub to an “electronic” one!

Recent enhancements have been made to the online pay stub. The online version can be used for employment verifications, can be accessed and printed by you at any time, provides an extra level of confidentiality and offers more information to you at a glance. It is a safe and secure method of delivery and also reduces costs for the College.

To enroll, follow the instructions below. Once enrolled, you will receive an e-mail message on each payday notifying you that a deposit has been made to your account(s). The e-mail will include a link to log on to BannerWeb to access your pay stub.

  • Log on to BannerWeb http://go.middlebury.edu/bw
  • Select the Employee tab
  • Click on Pay Information
  • Click on Direct Deposit Allocation
  • Click in the box after the text “Consent to enroll in paperless direct deposit:”Click the Submit button; a message will appear at the top of the page “Your change was saved successfully.”

How will I be notified of my direct deposit?
An e-mail will be sent to your campus address (“@middlebury.edu” or “@miis.edu”) alerting you that a deposit has been made into your account(s).

When will I receive the electronic direct deposit e-mail?
You will receive the e-mail notification on each regularly scheduled payday.

Where do I find my current CTO/SLR balances?
You can find your balances at the bottom of the pay stub screen, click on Leave Balances; or when logging on to BannerWeb, click on the Employee tab and then click on Time Off Current Balances and History.

What if I want to receive the paper version again?
You may revoke your consent by logging on to BannerWeb and unchecking the Consent box and then clicking the Submit button to start receiving the paper version again.

Payroll Tax Cut Extended to the End of 2012

On February 22, President Obama signed the Middle Class Tax Relief and Job Creation Act of 2012 into law, extending the 4.2 percent employee Social Security tax rate for wages paid through December 31, 2012. Receive W-2 Wage and Tax Statement Electronically

Employees have the option of receiving their W-2 Wage and Tax Statement electronically. We would like to remind those that have not signed up for this option that it is available. You will have until January 20, 2012 to elect this option.

How to sign up for electronic W-2:
•  Log into Banner Web (Self Service)http://go/bannerweb

•  Click on Employee
•  Click on Tax Forms
•  Click on Electronic W-2 Consent (Please read the consent information carefully, make your choice and then hit the Submit button; you will receive an e-mail notification confirming your selection.)

Note: If you signed up for the electronic W-2 in a prior year, you do not need to sign up again. Your consent is valid for all subsequent years unless revoked by you (please refer to the consent information on Banner Web for more detail). If you do not remember if you signed up previously, log onto Banner Web and go to the Electronic W-2 Consent section. If the consent box is checked, then you have already signed up.

Electronic W-2 FAQs:
Q: What is an “electronic W-2”?
A: This is an option to access and print your W-2 information electronically through Banner Self Service. The electronic version prints out an IRS approved paper W-2.
Q: Why should I choose to receive my W-2 this way?
A: Electronic W-2’s benefit everyone. Not only will you be able to access your W-2 information sooner, but also you have the ability to access and print the W-2 as often as you like. The College saves time, effort and money associated with printing, stuffing and mailing over 5,000 W-2’s.
Q. How do I print my Electronic W-2?
A. Log into Banner Web (Self Service) – http://go/bannerweb and click on the Employee section. Select Tax Forms then W-2 Tax and Wage Statement. Select Tax Year and hit the display button. Select the Print button below the W-2 form to display the current statement for printing. Print a copy for your records and print copies as needed for submission to federal, state, and local entities. Printed copies do not indicate if they are Federal, State, Local or an Employee copy, but the electronic version can be used for any of these filings.
Q. When will my electronic W-2 be ready?
A. You will receive an e-mail from the Payroll Office informing you that the W-2 is available for viewing and printing. Per IRS regulations, W-2’s need to be either postmarked or available electronically by January 31, 2012 for tax year 2011. We will make every effort to have the electronic W-2’s available earlier than January 31, 2012.
Q. What if I do not have access to a printer?
A. Please do not choose electronic delivery if you do not have access to a printer. For security reasons we suggest you avoid using printers located in public areas.
Q: What if my address is incorrect on the printed W-2?
A: You may still file using the electronic copy but you must contact Human Resources to make any changes to your address.

Change in Payroll Deadline for the Last Payroll of 2011

The College will be closed for the holiday break from 12:01 p.m. Friday, December 23, 2011, through Monday, January 2, 2012.  The last payroll of 2011 falls within the week we are closed, with a pay date of December 30, 2011. The following change has been made to the time entry deadline and paycheck distribution:

 TIME ENTRY DEADLINE:

  • Deadline for submitting/approving time – Tuesday, December 20, 2011, 10 a.m. (includes Web time entry, student time cards AND ALL APPROVALS)

PAYCHECK DISTRIBUTION:

  • Paychecks will be available for pickup on Friday, December 30, 2011, between 10 a.m. and noon in the Human Resources Office. (Please bring your College ID with you to pick up your check. You will only be able to pick up your own check – NO EXCEPTIONS. Any checks not picked up by noon that day will be delivered through regular campus mail on Tuesday, January 3, 2012.)
  • Direct deposit stubs will be delivered through regular campus mail on Tuesday, January 3, 2012.
  • Paychecks and direct deposits will be dated Friday, December 30, 2011.

Paperless Direct Deposit Program

The Payroll Office is excited to announce the option of enrolling in our paperless direct deposit program!

Now you can choose to stop receiving your paper direct deposit advice, and instead, view your pay information online via BannerWeb. Eliminating the paper version of the direct deposit advice provides an extra level of confidentiality and is a safer and more secure method of protecting your personal information. It also benefits the College by reducing the costs associated with printing, sealing and delivering the paper advices.

This is an “opt in” program, which means you must give your consent via BannerWeb to enroll. Once enrolled, you will receive an e-mail message on each payday notifying you that a deposit has been made to your account(s). The e-mail will include a link to log on to BannerWeb to access your paystub. To enroll, please follow the instructions below.

  • Log on to BannerWeb http://go.middlebury.edu/bw
  • Select the Employee tab
  • Click on Pay Information
  • Click on Direct Deposit Allocation
  • Click in the box after the text “Consent to enroll in paperless direct deposit:”
  • Click the Submit button; a message will appear at the top of the page “Your change was saved successfully.” (The online version will look slightly different from the paper version, however, it does provide the information needed to verify your deposit(s). Enhancements to the online version will be implemented in the next few months as part of the Banner 8.6 upgrade.)
